The Academy values your privacy. We do not sell, barter or exchange your personal information, nor do we share your personal information with any other organization to market you. The Academy collects only the minimal personal information needed to contact you for the purpose of providing you with the educational and membership services consistent with your registration. The information collected is your name, your email address and your phone number. As well, an emergency contact may be provided if you wish. Your email address is used as the preferable initial point of contact. Please update your information promptly if it changes.
As a member, your personal information is used to enrol in workshops and may be used to advise you of Academy speaking opportunities as well as Board or Committee positions you may be interested in and other Academy events. Your personal information is shared with Academy members who facilitate workshops you have chosen in order to contact you, but it is not shared among members of the workshops unless your consent is provided.
From time-to-time group photos of Academy members are taken and displayed on the Academy website. The photos are used only for Academy approved purposes and names are not included. However, if the photo includes fewer than three members, the photo will only be used with your consent.

Introduction:
The Academy for Lifelong Learning Toronto (the Academy) is committed to protecting the privacy of the member personal information it holds. The Academy does not sell, barter or exchange the personal information it holds, nor does it share personal information with other organizations to market you. The Academy only collects the minimal personal information needed to contact you for the purpose of providing you with the educational and membership services consistent with your registration. The information collected is your name, your email address and your phone number. As well, emergency contact information may be collected, but such is optional. The email address is used as the preferable initial point of contact. Individuals are urged to update their information promptly should there be changes.
This Policy outlines the principles and practices followed by the Academy in protecting your personal information. These principles and practices are informed by best practices as expressed in current privacy standards and relevant privacy legislation. This policy is available on the Academy website. It applies to the Academy and to any person providing services on the Academy’s behalf.
What is Personal Information?
Personal Information is any information that identifies an individual such as names, email addresses and phone numbers.
What Personal Information is Collected by the Academy?
The Academy collects only minimal and limited personal information as is necessary to obtain in the course of its activities. It collects names, email addresses and phone numbers of members on registration. Emergency contact information may be collected as well, but such is optional.

The Academy does not collect credit card information or information concerning payment through PayPal. Personal information is collected directly from the members but may be collected indirectly if the individual consents. This information is held in a secure database.
How is the Personal Information that is Collected Used?
As a member, your personal information is used to enrol in workshops and may be used to advise you of Academy speaking opportunities as well as Board or Committee positions you may be interested in and other Academy events. Your personal information is shared with Academy members who facilitate workshops you have chosen in order to contact you, but it is not shared among members of the workshops unless your consent is provided. Consent may be withdrawn at any time where reasonable by notifying appropriate Academy members.
Contact information of workshop registrants is shared with the workshop facilitators so that they may reach out to those registered for the workshop to advise of pertinent information related to the workshop including topics, dates and presentations. The contact information is not shared among the workshop registrants without express consent.
Queries regarding the conduct of a member may result in the sharing of information as required in order to allow the Academy Executive to resolve the matter.
Workshop Facilitator Personal Information
The personal information of facilitators is treated in the same manner as other member personal information. However, since facilitator email addresses can be displayed on the Academy website in relation to a workshop description, such public disclosure is only done once consent is obtained from the facilitator.
The Academy does ask for anonymous feedback regarding facilitators via a questionnaire. This anonymous feedback is shared with the facilitator to whom it applies as well as with the Academy executive for planning purposes.
What Personal Information is Disclosed?
As noted in the Privacy Notice on the Academy website registration section, the Academy does not sell, barter or exchange your personal information, nor does it share your personal information with any other organization to market you. Personal information is shared / used with Academy members as noted above.
Consent of individuals for disclosure may be withdrawn at any time where reasonable, by notifying the appropriate Academy members.
Should there be a change in the purposes for which the personal information is collected, used, or disclosed, the Academy will amend its policies and notices accordingly and advise its members.
Safeguarding Personal Information
The Academy makes every effort to ensure that personal information is accurate and complete. The Academy relies on the individuals to notify it if there is a change to their personal information, such as their contact information. Members ought to promptly advise the Academy of changes or errors in their personal information so that such may be corrected.
The Academy protects personal information consistent with its sensitivity and makes every reasonable effort to prevent any loss, misuse, improper disclosure or modification of the information, as well as unauthorized access to it. The Database containing the personal information of members is password protected and access is limited to those required and authorized.
The Academy retains the personal information only for as long as is reasonable to fulfill the purposes for which the information was collected, and for legal and business purposes.
Access to Records containing Personal Information
Individuals have a right to request access to their own personal information held by the Academy. To do so the requester would send an email to the Academy’s Privacy Officer and specifically identify the information requested. Individuals may also request a correction of their personal information.
Questions or Complaints – Privacy Officer
The position of Privacy Officer is held by the Academy’s Past President. Questions or concerns about the collection, use or disclosure of personal information by the Academy or about a request for access to such information or any other personal information handling matter may be made to the Academy’s Privacy Officer.
